Job Responsibilities:
A. Olympic Sports Operations:
   o Provide day-to-day operational support to Track & Field and M/W Tennis.  This may include, but is not limited to:

Assistant Director of Stewardship

We are currently seeking an Assistant Director of Stewardship who will work within the department's Development Office. 
 
The Assistant Director of Stewardship manages writing and communications stewardship activities within the Athletic Department to ensure that all donors receive appropriate recognition of their giving level, with a special focus given to the department's special donor groups and create detailed compelling proposals that will be used to raise funds for the Athletic department. He/she will manage the communications library/cases for support materials for all of the fundraising initiatives within the Athletics Department, manage and write donor reports, liaise with the University on central stewardship reports and integration. In this capacity, the Assistant Director of Stewardship will also manage the stewardship plan for multiple groups that engage on an annual basis with the department and create custom reports on an ongoing basis for various purposes leading to  the success of the department's overall fundraising and stewardship goals.

Athletic Turf Specialist

Job Description:
The Athletic Turf  Specialist will work independently to maintain and prepare sports and recreation field and court venues for athletic events.  Additionally, in the absence of supervisory staff, the Lead Gardener Specialist may be responsible for coordinating and leading work crews to ensure that all fields and venues are maintained and cared for as necessary. 
Job Responsibilities:
A. High Performance Turf and Field Maintenance
• Maintain grass sports fields ranging from high performance turf to recreational "park" turf.  Mow, fertilize, seed, aerate, verticut, edge, weed, and grade.  Implement preventive and ongoing maintenance schedules based upon type of turf, soil, irrigation and drainage, micro-climate as well as turf conditions related to soil nutrients, fungus, pests, etc.   Maintenance schedules include daily mowing and irrigation and periodic aeration, fertilization, etc.
• Prepare and maintain high-performance synthetic rubber  infill surfaces to a high standard. Adjust practices to maintain surface grades and remove large and fine debris with dedicated specialized sweeping equipment. Manage high capacity irrigation systems to adjust surface temperatures for practice and competition . remove and sterilize localized contaminants.
• Prepare soil surfaces utilized in baseball, softball or track & field venues.  Blend the appropriate mixture of sand, clay, and other soils to provide suitable surface in areas such as pitcher's mound, home plate, long jump pit, etc.  Wet, scarify, drag, etc. on regular basis. Broom clean seams (grass meets turf) to prevent build-up and untrue playing surface
• Develop and execute plans for field repair.  Repair and revive damaged turf through divot replacement, overseeding, removal of dead grass and sod.   Carry out seasonal re-construction of worn areas through turf removal, rototilling, addition of soil amendments, grading, and installation of plant material (seed or sod).
• Operate field equipment including ride on mowers, tractor, roller, sweeper, etc.
• Operate all ride-on and hand held power equipment required for the maintenance, renovation and repair of  collegiate facilities. Including professional reel and rotary mowers, tractors and implements, sweepers, utility vehicles etc. Also Forklifts and Aerial lifts as necessary to maintain facilities and prepare for events.
• Apply pesticides through backpack and/or boom spray applications to control weed, insect and fungal problems with supervisory direction.
 
B. Irrigation
• Repair and maintain irrigation systems including the control box, circulation pipes, drain pipes, valves, and heads.  Clean  valve boxes, complete head adjustments, and maintain level surface around heads.
 
C. Event and Competition Preparation
• Prepare competition and practice venues.   Play surfaces include grass, synthetic turf, tennis courts, and soil areas.
• Survey and line fields for competition and practice.  Utilize chalk and/or paint depending upon surface (grass, synthetic turf, soil).  Adjust field marking as necessary to reduce wear.  Paint end zones, logos (e.g. script CAL, Pac 12, NCAA logos) through use of stencils and grids. 
• Prepare grasses according to weather conditions and coach's specifications.  Adjust irrigation, mowing, and other maintenance schedules to meet optimum play or practice conditions.
• Prepare soil areas for game and practice.  Wet, scarify, and drag as requested.  Adjust playing surfaces during games (baseball/softball drag, sod squad).
• Prepare spectator areas including clean up of bleachers, restrooms, and other amenities.  Police areas for refuse and litter.  Vacuum or blow hardscape.
• Provide logistical support to television or radio crews.
• Serve as liaison with external groups conducting events at various facilities.  Meet with organizers and execute plans for set-up, takedown and the event.
• Transport Field and Sports Equipment between venues using Flatbed trucks as needed.
 
D.  Landscape and Turf Maintenance
• Perform general landscape tasks for both athletic and recreation areas (Golden Bear, Strawberry Canyon, RSF, Haas Pavilion, Evans Diamond, Edwards Track).  Work includes planting, weeding, cultivation, ground cover pruning, vine and shrub pruning, mulching, leaf pick-up, tree trimming (up to 25 feet), brush pick-up and chipping, mowing, edging, and blowing clippings off landscape.  Clean drain covers and catch basins.  Hillside maintenance including brush, weed cutting, and litter pick-up.
• Pick up and remove litter and debris. Empty trash boxes and remove posters, flyers, and graffiti from structures and facilities on a daily basis.
• Vacuum, blow, clean up, paint, and remove graffiti on astroturf and tennis courts.
 
E.  Exterior Facility Maintenance Work and Recordkeeping
• Minor repairs to fences, gates, chains, picnic tables, benches, storage cabinets, pool equipment, and fountains.
• Repair and/or replace equipment items such as sport nets, goals, etc. 
• Maintain tools and equipment in clean safe manner and log all use as required.
 
F.  Supervision/Teamwork
• Coordinate work crews and work tasks as necessary.  Help workers or supervisors solve work problems.
• Ensure safe working conditions and implement health and safety policies, and as appropriate, personnel policies in the daily work setting.
• Communicate with other staff and the general public in a professional manner, and be a positive public relations influence for the unit and the entire department.

• In depth knowledge of the full breadth of outdoor sports surfaces as well as specific needs for various athletic programs
• Specialized training in horticultural techniques which contribute to the growth and maintenance of plant material free from disease and undesirable elements.

Athletic Groundskeeper

D.  Leadership/Teamwork

Ticket Sales Representatives

Involves the selling of tickets to athletic events on campus to increase revenue, attendance and atmosphere at the games.  Involves analyzing audiences and identifying prospective customers through referrals, lead generation, and prior purchasing history.  This position is a critical component to increase revenue and donations tied to ticket sales.
Job Responsibilities:
• Coordinate selling plans and promotional materials designed to promote awareness of athletic events.  Sell football and basketball season tickets, mini plans, and group tickets through outbound phone calls, emails, and in person appointments.  Includes calling current and past customers to upgrade or sell tickets as well as generating sales from new customers.  Conduct 75-100 outbound sales calls per day.
• Proactively seek referrals from existing customers for ticket sales and donations.
• Provide detailed information to prospective clients about the organization's products and services, pricing options, promotional opportunities, and other aspects of the products/services. Manage prospect leads and customer interaction through the sales process within Customer Relationship Management and/or Paciolan database.
• Research and analyzes new and innovative methods for generating sales revenue through outreach and develops implementation proposals.   Achieves or exceed sales goals while delivering high level customer service.
• Build relationships with outside (non-campus affiliated) companies and organizations.  Also works closely with internal units, such as Ticket Operations and Development to achieve sales and prospecting goals.

Associate Athletic Director - Ticket Sales, Marketing, and Service

The Associate AD - Ticket Sales, Marketing, and Service will be responsible for the oversight and management of the outbound tickets sales team, ticket operations, customer service/customer retention, and marketing for Cal Athletics. This position will be expected to meet or exceed annual ticket sales goals while working closely with the Associate AD of Revenue & Business Strategy and our Bear Backers/Development Office to identify new sources of revenue. The Associate AD will also be responsible for leveraging our Corporate Partner resources with IMG to enhance ticket sales, customer service & retention, and marketing efforts.
 
The Associate AD will be responsible for the marketing and selling of tickets to athletic events and donations tied to seats. His/her responsibilities will also include the analysis of identified constituencies/audiences and the development of programs, services, and outreach to meet identified needs and influence public perception.  This may involve "brand" development or enhancement and will involve working with the media (press, television, radio).  This position oversees the sales and customer service/retention strategy, which is designed to exceed set goals in annual ticket sales revenue.  Responsibilities also include the development of marketing plans, advertising strategy, media buying, outbound sales staff efforts, in bound sales plans, social media and database marketing. Furthermore, this position will develop and manage customer service programs designed to improve customer sales retention and deliver consistently positive service to various stakeholders both internal and external. This position oversees the Ticket Office Operations team tasked with providing backend ticket/systems operations for ticket sales on the phone, on the web, in person and at athletic events.
Job Responsibilities:
• Manage and lead the daily operations of Ticket Sales, Ticket Service/Operations, Marketing and Customer Service & Retention units with the goal of generating ticket revenue and providing great customer service to our patrons.
• Develop marketing and sales plans designed to increase attendance at events as well as ticket revenue.  
• Oversee advertising strategy and media buys, including radio, television, print, and internet.  Work with Creative Services unit to implement the creative.  
• Provide comprehensive personnel administration including recruiting, hiring, training, evaluating and as required taking corrective action with subordinate supervisors and other relevant positions. Conduct regular staff meetings with full-time staff and student employees.
• Oversee outbound and inbound sales call strategies and visits to local organizations and businesses with the goal of increasing our ticket sales and creating strategic partnerships for future sales.
• Oversee research initiatives, including the planning, composition and implementation of written surveys, focus groups and telephone surveys for learn more about our ticket patrons.
• Ensure that all units work collaboratively with the Ticket Operations staff tasked with maintaining a customer friendly and efficient ticketing system needed for in person, phone and internet ticket sales ordering.
• Implement customer service plans with ticket sales and ticket operations staff designed to improve the customer experience and retention of customers.
• Work with other external unit professionals and the Business and Finance unit to prepare sales forecasting reports and provide analysis and recommendations to upper management.
• Work with other external (Development, Athletic Communications) professionals and contribute ideas in developing long and short term strategic plans.
• In consultation with management, prepare and monitor annual budget for operations expenses as well as projected revenues from ticket sales.

She/he will provide general oversight, support and direction of the academic preparation and performance of all team members and will collaborate with the Academic Advisor from the Athletic Study Center who provides advising services to the football program and the Director of Football Student-Athlete Development.
Job Responsibilities:
• Oversees and provides necessary support to the football team, such as tutorial services, study hall, exam preparation, writing skills, etc.
• Collaborates with Academic Advisor on course selection, and the determination of a designated major, based upon each student's academic goals, strengths and weaknesses. Reviews alternative academic options, dealing with scheduling conflicts, and similar issues.
• Serves as liaison with Student Services staff on development and delivery of career development and life skills programming.
• Identifies individual student needs for appropriate programs and services and develops services to enhance study skills, such as reading, writing, test and note taking.
• Works with High Performance Director to develop and deliver performance lifestyle and other programming to student-athletes, pertinent to their academic success.
• Communicates and works with football coaching staff to keep them informed and involved with the academic and degree progress of their student-athletes. Advises and updates coaches on any concerns of truancy, misconduct, or lack of motivation of any football students. Brainstorms remedies and interventions.

Job Description:
Involves providing customer relations to current Cal Athletics customers with the goal of improving customer retention rates with regard to ticket sales.  This position requires active communication to current customers, soliciting their feedback on ways to improve their experience.  During ticket renewal times, the customer relations staff will proactively reach out to customers who have not renewed their tickets. 
Job Responsibilities:
• Implements customer retention programs, events and communication strategies designed to inform external constituencies of ticketing opportunities for Cal athletic events.   Constituencies may include the general public, prospective students, parents, alumni, donors, and/or campus visitors.
• Provides front-line customer relations to the general public, prospective students, parents, alumni, donors, and/or campus visitors and answers routine inquiries, including questions received over the phone, in person, through email, or on-line via the internet.
• Answers inbound ticket sales inquiries along with addressing ticketing issues and answering game day related questions.   Provides superior and professional customer relations to all current group leaders, season ticket holders, and potential customers by understanding the needs and making the appropriate recommendations to exceed their needs. 
• Works to up-sell general and single game inquiries into mini plan, season ticket or group sales when appropriate. 
• May research various topics and gather relevant data to inform strategic communication plans. Manages and builds relationships within a portfolio of customers including season ticket, mini plan and group customers along with gaining referrals. Responsible for communication of annual renewal of football and men's basketball season tickets including implementation of renewal events, mailings, and strategy. Works closely with Ticket Sales unit to provide new sales ideas, benefit programs, engagement with fans, and to discuss best practices.  Shares inbound leads with Sales team to initiate follow up contact to close potential sales. 
• Coordinates customer relations logistics at football games, men's basketball games and special events, performing various ticket sales and service duties to include relationship building with existing season ticket holders and group leaders to assist with retention.  Serves as an expert on venue and game day information for California Memorial Stadium and Haas Pavilion.
• Maintain records of leads and service issues in Customer Relationship Management Tool.
Selection Criteria - Required:
• Strong knowledge of the concepts and principles of building and maintaining effective relations with a variety of constituencies.
• Organizational skills including skill to meet prescribed deadlines; event planning skills.
• Highly developed written, verbal and interpersonal skills, including tact and political acumen to effectively represent the institution.

• Basic knowledge of the athletic department, its mission, vision, goals, achievements, policies, and infrastructure.

• Knowledge of applicable Pac-12 and NCAA rules and regulations.
• Prior customer relations training.
